Requirements for Recording in Hancock County

Before bringing a deed to the Hancock County clerk, make sure it meets state requirements. All documents must meet the formatting and content requirements of O.C.G.A. 44-2-14.

A PT-61 form is required with any warranty or quitclaim deed. Complete and submit it online at gsccca.org before filing.

You can file electronically at efile.gsccca.org. eRecording usually takes 2-3 business days. Paper filings take closer to 4 weeks.

Watch for these common problems: missing PT-61, only one witness, or no notarization. Any of these will get the document sent back.

When you submit a deed for recording, the clerk's office stamps it with the date and time received and assigns a book and page number. That number becomes the permanent reference for the document. Keep it for your records.

If you are mailing a deed to the Hancock County clerk, include a self-addressed stamped envelope for the return. The address is 12630 Broad Street, Sparta, GA 31087. Call (706) 444-6644 first if you have any questions about document format or what to include.

Security deeds, which are used in most Georgia mortgage transactions, also go through the same recording process. They are indexed in GSCCCA along with warranty and quitclaim deeds.
